Confereasy

Built for academic and scientific conferences

Academic conference management, from call for papers to certificates

Confereasy connects submissions, peer review, the programme, registrations, payments, check-in and certificates. Your committees work on the same data instead of spreadsheets and endless email threads.

  • Start for free in draft mode
  • No subscription or set-up fee
  • Pay only per registered attendee

One connected workflow

From the first abstract to the last certificate, without copying data around

Each stage feeds the next. An accepted paper is already in the programme, its author is already registered, and their certificate already knows what they presented.

  1. 01

    Call for papers

Authors submit abstracts or full papers by type and category, and track their status from their attendee portal.

  2. 02

    Peer review

Scientific committees assign reviewers, collect evaluations, with blind review if you want it, and decide.

  3. 03

    Programme

Accepted papers and invited sessions go into a visual schedule by room and day, ready to publish.

  4. 04

    Registration and payments

Attendees register with your fees and periods, and pay by card, bank transfer, local gateways such as Redsys or manual payment.

  5. 05

    Check-in

Your staff scan attendee QR codes at the door and see straight away what each person is entitled to.

  6. 06

    Certificates

Attendance, presentation, authorship and other certificates come from the data you already have.

Features

Everything an academic conference needs, in one place

No separate tools for abstracts, registration and badges. Every module shares the same people, papers and sessions.

  • Submissions

Abstracts and full papers with your own presentation types, such as oral, poster or plenary, and topic categories. Authors manage co-authors and files themselves.

  • Peer review

Scientific committees with responsible members and reviewers, assignments, evaluations and decisions. Optional blind review for reviewers and responsible members.

  • Invited sessions

Proposals are accepted by the committee. Each session organiser then invites authors with a private link, reviews their papers and sets the running order.

  • Programme builder

Drag and resize sessions in a visual schedule by room and day, assign accepted papers and chairs, preview it and publish it when you are ready.

  • Registration

Fees by attendee group and period, such as early bird, regular and late, plus custom fields and conditions for whatever you need to ask.

  • Payments

Attendees pay you directly by card through Stripe, by bank transfer or through local gateways such as Redsys. We are not an intermediary, and refunds are tracked too.

  • QR check-in

Staff scan attendee QR codes with a phone camera, see each attendee's entitlements and get warned about duplicates.

  • Certificates

Attendance, paper presentation, authorship, payment, session chair, invited session organisation and custom certificates.

  • Attendee portal

Authors and attendees register, pay, submit papers, check the programme and download their certificates from their own attendee portal.

Also included

  • Team roles and permissions
  • Conference timeline overview
  • Data exports
  • Custom registration fields
  • Multilingual content
  • Automatic notifications

A closer look

Designed around how academic conferences really work

Peer review without the email chaos

Each scientific committee works in its own space. Responsible members assign reviewers, follow progress and decide, while reviewers only see what they have to evaluate.

  • Committees by category, with responsible members and reviewers
  • Optional blind review to hide author identities
  • Authors are notified and follow the status from their attendee portal

Invited sessions that organise themselves

Once the committee accepts an invited session, its organiser takes care of it from their attendee portal: they invite the authors, review their papers and set the order. The session reaches the programme ready to schedule, and your scientific committee has much less to handle.

  • A private invitation link for each session organiser
  • Organisers review the papers in their own session
  • Running order set by the organiser, ready for the programme

Build the programme visually

Lay out sessions by room and day, drag them around and resize them until everything fits. Accepted papers and invited sessions are already there, waiting for a slot.

  • Schedule editor with rooms, days and time slots
  • Assign accepted papers and chairs to each session
  • Preview privately, then publish it for your attendees

A calm conference day, and certificates on time

Check-in staff only need a phone. Afterwards, certificates are generated from registrations, papers and sessions, so nobody has to fill in templates by hand.

  • QR check-in with entitlements and duplicate warnings
  • A dedicated check-in role that only sees what it needs
  • Certificates available to attendees in their attendee portal

For your whole team

Share the work. Everyone sees just what they need.

A conference is the work of many people. Confereasy gives each of them their own role and tools, so the load is spread out and nobody depends on a single overloaded organiser.

See how to get started
  • Organising committee

Full control of the conference, with an optional restricted profile for members who should not see everything.

  • Scientific committees

Responsible members and reviewers evaluate the papers in their own categories and nothing else.

  • Session organisers

Run their invited session from their attendee portal: invite authors, review papers and set the order.

  • Secretariat

Handles registrations, payments and attendee questions without touching the scientific side.

  • Check-in staff

A scan-only role for the door: they check attendees in and see nothing else.

  • Authors and attendees

Submit papers, register, pay, and download their certificates from their own attendee portal.

Get started

Your conference up and running today, not next month

No sales calls and no implementation project. You set it up yourself, at your own pace.

  1. 1

    Create your account

Sign up with your email and confirm it with a verification code. That is all you need to begin.

  2. 2

    Answer a short wizard

Tell us the name, dates, place and context of your conference. We prepare presentation types, sample categories, rooms, registration periods and certificate settings for you.

  3. 3

Configure in draft, activate when ready

Everything works in draft mode, with some limits. When you want to open registrations for real, activate the plan in a few minutes and keep all your configuration.

FAQ

Frequently asked questions

What is Confereasy?
Confereasy is a web platform for organising academic and scientific conferences. It covers the call for papers, peer review by scientific committees, invited sessions, the conference programme, registrations and payments, check-in on the day and certificates, all connected in one place.
How much does it cost?
There are no subscriptions or set-up fees. The standard plan costs $4.50 per registered attendee when attendees pay by card through Stripe, and $5.50 per registered attendee for other payment methods such as bank transfer or local gateways like Redsys. Prices exclude VAT, and payment gateways charge their own processing fees.
What counts as a registered attendee?
An attendee counts when they complete their registration and at least one payment has been recorded for it. Draft submissions, authors, reviewers and committee members do not count on their own.
Can I try it before paying?
Yes. Every new conference starts in draft mode, where everything works with some limits on attendees, papers and invited sessions. When you are ready, you activate the standard plan in a few minutes and keep all your configuration.
Where does the registration money go?
Straight to you. Card payments go to your own Stripe account, and bank transfers pay into your own bank account. We also support local payment gateways such as Redsys, also paying into your account: ask us and we will help you set it up. Confereasy is not an intermediary and never holds your attendees' money: we only charge our commission. You choose which payment methods each conference offers.
Does it support blind peer review?
Yes. Scientific committees have responsible members and reviewers, and you can hide author identities from reviewers and responsible members.
Can session organisers manage their own invited sessions?
Yes. Once an invited session is accepted, its organiser gets a private link to invite authors, reviews the submitted papers and sets their order, so the session reaches the programme ready to schedule.
Do you build the conference website?
No, Confereasy does not include a conference website. Registration, submissions, the programme and certificates live in the attendee portal, which you can link from your own site. If you need a website, we can help you and suggest options at no extra cost.
Can I organise more than one conference?
Yes. One account can manage several conferences, each with its own team, settings and attendee portal. Each conference is billed only for its own registered attendees.
Do I need technical knowledge to set it up?
No. A short wizard asks for the basics of your conference and prepares sensible defaults such as presentation types, sample categories, rooms, registration periods and certificate settings. You can change everything later.
